1) Scope — Who we are

This Policy explains how we collect, use, share, and protect personal information when you visit our websites, use Omnio platforms and APIs, interact with our support channels, or otherwise communicate with us (together, the "Services").

For website visitors and leads, we act as the Controller.

For customers that upload or connect data/content to Omnio, we generally act as a Processor under a Data Processing Addendum (DPA). If there is any conflict between this Policy and a signed DPA, the DPA governs for the covered processing.

2) Information we process

We collect information directly from you, automatically through your use of the Services, and from lawful third‑party sources.

A. Identity & account: Name, business email, phone, company, title/role; account credentials and settings; communications preferences.

B. Billing & subscription: Billing contact and payment/subscription status. We do not store full payment card numbers; our payment processor handles them and shares limited information with us (e.g., last four digits and status).

C. Usage & device: IP address, user agent, pages/actions, timestamps, logs, diagnostics and performance, API request metadata and telemetry.

D. Content & integrations: Data, feeds, schemas, metadata, and content you upload or connect to Omnio to provide the Services (processed only under your instructions).

E. Third‑party sources: Data from integrations (SSO, storage, analytics), partners, and public/professional sources where lawful.

We do not intentionally seek sensitive/special categories of data. If you provide such data for a specific, disclosed purpose, we will identify the use and legal basis.

3) Purposes & legal bases (GDPR)

We use personal information to:

Provide and operate the Services (account setup, features, technical support).
Legal basis: contract (Art. 6(1)(b)) and, where appropriate, legitimate interests (Art. 6(1)(f)).

Support & communications (respond to inquiries, service notices, incidents).
Basis: contract / legitimate interests.

Billing & administration (payments, subscriptions, collections).
Basis: contract / legal obligation (Art. 6(1)(c)).

Security, fraud and abuse prevention (account protection, anomaly detection, infrastructure security).
Basis: legitimate interests / legal obligation.

Analytics & product improvement (understand usage and performance to optimize).
Basis: legitimate interests.

Marketing communications permitted by law (product updates, newsletters, events) with opt‑out.
Basis: consent or legitimate interests, as applicable.

Legal compliance and defense of claims.
Basis: legal obligation / legitimate interests.

You may withdraw your consent at any time; prior processing remains lawful.

4) Cookies & similar technologies

We use cookies/SDKs to remember preferences, keep you signed in, measure usage, and improve performance. Manage your choices in your browser and via our Cookie Preferences Center (site footer). For California residents, we honor the Global Privacy Control (GPC) signal as a valid opt‑out where applicable. 5) How we share information

We do not sell or rent personal information. We share it only with:

  • Service providers/processors (hosting, storage, analytics, communications, security, payments, customer success) under confidentiality and data‑processing terms;
  • Corporate transactions (merger, acquisition, financing, sale of assets);
  • Legal/safety (to comply with law, protect rights and safety, prevent fraud/abuse);
  • Integrations/third parties you enable or direct us to share with.

6) International transfers

We process data in the United States and other countries where our providers operate. Where required, we use appropriate safeguards such as the EU Standard Contractual Clauses and the UK IDTA/Addendum. You can request copies using the contact details below.

7) Data retention

We retain personal information no longer than necessary for the purposes described and to meet legal obligations. Typical guidelines:

  • Account/contract data: life of the account + up to 7 years (tax/audit);
  • Support tickets & logs: 24 months unless needed longer for security/legal reasons;
  • Marketing records: until you opt‑out or after 24 months of inactivity;
  • Customer content/integrations: per customer configuration or deletion on request/termination.

8) Your rights

Rights depend on your location. You can exercise them via privacy@omnio.media.

A. EU/EEA & UK (GDPR/UK GDPR)

Access, rectification, erasure, restriction, portability, objection (including to profiling based on legitimate interests), and withdrawal of consent. You may also complain to your supervisory authority. Our EU/UK representative details are available on request.

B. California (CPRA/CCPA)

Right to know/access, delete, and correct; opt‑out of sale/sharing (we do not sell personal information as defined by CPRA; if we engage in cross‑context behavioral advertising, we will provide a "Do Not Sell or Share My Personal Information" link); right to limit use of sensitive personal information (we do not use sensitive PI to infer characteristics); non‑discrimination. We honor GPC signals where applicable.

C. Other U.S. States

Depending on your state (e.g., VA, CO, CT, UT, TX, OR, MT, DE, IA, IN, TN, and others), you may have rights to access, delete, correct, and opt‑out of targeted advertising, sale, or profiling in furtherance of decisions producing legal or similarly significant effects. We implement technical and organizational measures appropriate to the risk (encryption in transit/at rest where applicable, access controls, logging/monitoring, training, and incident response). No system is 100% secure, please safeguard your credentials.

10) Children's privacy

Our Services are not directed to children under 16 in the EU/UK or 13 in the U.S. If you believe a child has provided personal information, contact us and we will delete it as appropriate.

11) Enterprise customers & DPA

If you act as a controller and use Omnio as a processor, we offer a Data Processing Addendum (DPA) with standard clauses where needed. Request it at legal@truetitleai.com or privacy@omnio.media.

12) Third‑party services & integrations

Our Services may link to or integrate with third‑party services. Their practices are governed by their own policies. When you enable an integration, you direct us to exchange the data necessary to deliver it.

13) Changes to this Policy

We may update this Policy from time to time. If we make material changes, we will notify you by email or a prominent notice within the Services. The "Effective date" above indicates when the latest update took effect.
